We're in 3D World in PowerPoint 2010

If you notice we're rapidly going from 2D to 3D and it's all moving quite fast.

You go to the cinema and more and more movies are being released in 3D. big companies such as Sony, Sky, Toshiba, etc.. are bringing out 3D TV's and of course 3D channels and games.

What is so fascinating about 3D? Well may be the possibility of seeing objects from different angles. Well in this race of 3D Microsoft decided why should they be left behind so they introduced 3D Transitions to your PowerPoint presentations.

Following is the screen where you can see the brand new transitions that PPT 2010 has to offer.

On the ribbon when you click Transitions you will be presented with the following transitions which are much more dynamic than the 2007 transitions:


You can also easily save your presentations as Movie files. Editing your Pictures is enhanced and editing you would expect specialist photo editing s/w to do can now easily be done in PowerPoint such as removing backgrounds of pictures, applying different artistic effects .

Embedding You Tube clip in PowerPoint

Sometimes when presenting in PowerPoint wouldn't it be cool to view YouTube clip within PowerPoint!

Here is a Step by Step guide to do that!

  • Insert a New Slide with a Title only layout


  • Enter the Title of your choice


  • You will need to have a Control Toolbox toolbar displayed. To view the Control Toolbox toolbar choose View > Toolbars > Control Toolbox

  • Click on the hammer and Spanner button on the toolbar and choose Shock wave Flash Object



  • Draw the size of Video you'd like to appear on the slide


  • Right-click on the object that you just drew and then choose Properties




  • Minimise the PowerPoint Application and open Web Browser.


  • Go to YouTube website and search for your video


  • Copy the web address from the address bar of the Web browser



  • Maximize PowerPoint window

  • In the Properties Dialog box Paste the link on the Movie box

  • In the link that you just pasted delete "Watch?" and also replace "=" with "/"
  • Close the Properties Dialog box
  • Run your show and it should work perfectly

Please note that for the above mentioned feature you do need to be connected to the Internet while presenting. There is however, another method where you can embed a YouTube without having Internet connection! That is for another day! :)

Do you copy and paste text from Word Into PowerPoint? Naughty ! Naughty!!

There comes a time when someone gives you a 200 pages document and ask you to create a PowerPoint presentation. You get so frustrated looking at the document that you wish you could tell this person where to stick it! On the wall Ofcourse (I know what you dirty mind people were thinking ;)

Anyways It seems more of a daunting task than it actually is!

PowerPoint, as you may be aware, uses Slides. Word on the other hand uses pages. Now if we are talking about a Title and text content slide in PowerPoint then you mainly enter text in bullet format.

The question is when you try to import Word document into Powerpoint how does it know what to import as first level Bullet, second level, third level and so on and how do we ensure that a large chunk of data which as effectivly paragraphs with lots and lots of lines do not get imported?

The goood question deserves a Good answer!

In Word there are something called Styles such as Heading 1 , Heading 2, heading 3, etc... These styles have various uses such as creating a Table of content, etc... but these are also very important for importing into PowerPoint.

The most important thing to remember is that whatever you have as Heading 1 in Word becomes a Title of a slide in PowerPoint Heading 2 becomes 1st Level Bullet, Heading 3 becomes 2nd level bullet and so on.

So if you had 10 heading 1 in your Word document then you should expect to see 10 slides being created.

Note that anything that is Normal style (which generally are thelarge paragraphs) do not get imported into Excel at all. If you really had to import them in to Powerpoint then you should apply one of teh heading styles as mentioned above!

Once you have applied teh relevant heading styles to the text in Word simply open teh existing PowerPoint file where you'd like to import the text or create a new one if necessary. Also please remember taht teh new slides that will be created will be placed below teh slide that you are currently on.

If you are using PowerPoint 2003 then you have to choose Insert > Slides from Outline...
Locate your files and then click the insert button.

You will see that magically new slides get created extracting the data from Word as bullet points confining to the rule mentioned above.

If you are using PowerPoint 2007 then you have to choose Home Tab on the ribbon
choose the drop down arrow next to the New Slide... button.

Choose Slides from outline...

Locate your word file and then simply press the insert button

Viewing Presentation without PowerPoint Installed!



Hello Everyone

Here is a little dose of PowerPoint for you!

You have created a PowerPoint presentation and are about to send it to someone and then you wonder does the other person have the same version of PowerPoint or have PowerPoint Installed at all on their computer.

In PowerPoint 2003 and 2007 their is a feature called Package for CD that allows you to save your PowerPoint file/s in such a way that they can be viewed by anyone even if they don't have PowerPoint Installed on their computers. This works on tehir computer because this feature installs a small program called PPT Viewer on the same location.

Please follow these steps:
  • Create your presentation and save it with an appropriate name
  • Choose Office Button > Publish > Package for CD

  • Choose the files that you'd like to add to the CD by Pressing Add Files... Button


  • If you want to change any further options such as Letting the user decide which presentation to play, keeping the linked files, or even setting Passwords for opening and modifying files then press the options button. once you have finished with the options then press OK button to return back to the Package for CD dialog box

  • If you have a Blank CD and a CD Writer attached to your computer you can press the Copy to CD or if you wish to do that later then you can press Copy to Folder which then can be copied on to a CD at a later stage.
